ProcessPlan AI Screen Recorder

The ProcessPlan AI Screen Recorder is a Windows app that captures your screen and your spoken narration while you perform a process the way you normally would. When you stop, the recording is uploaded to ProcessPlan automatically and turned into a documented process, ready to review, refine, and run.

How it works

1. Start a recording and describe out loud what you are doing as you work.
2. Perform the process at your normal pace, in your normal applications.
3. Stop the recording. It uploads to ProcessPlan automatically.
4. ProcessPlan analyzes the recording and builds the process. You receive an email when it is ready.

What you need

• A computer running Windows 10 or later.
• A working microphone. Narration is required: recordings without audible narration cannot be processed.
• An internet connection.
• A ProcessPlan login. The first time you record, you connect the recorder to your ProcessPlan account by signing in through your web browser.

To get the recorder, open AI Tools in ProcessPlan and choose AI Screen Recorder, or ask your ProcessPlan administrator for it.

Opening the recorder

The recorder is a single file with nothing to install. Double-click it and the recorder window opens, with its own button on the Windows taskbar like any other app.

• The first time you open it, the window shows only Connect to ProcessPlan. Once the recorder is connected, the window shows everything you need to start a recording: the process, your microphone, and Start Recording.
• While a recording is running, the window minimizes to the taskbar to stay out of your way. A red dot on the recorder’s taskbar button shows that it is recording.
• Hover over the taskbar button to see the elapsed recording time, with buttons to pause or stop the recording.
• Click the taskbar button at any time to open the window. It shows the current status, the recording controls, and the recorder’s most recent message. The window is never captured in your recording, so you can open it while you record.
• The ProcessPlan logo also appears in the system tray, the row of small icons near the clock. The recorder’s notifications come from there, and clicking the logo opens the recorder window.

To keep the recorder handy, right-click its taskbar button and choose Pin to taskbar. If you open the recorder while it is already running, the window that is already open comes to the front.

To close the recorder, close its window. You cannot close it while a recording is active, so stop the recording first. If a recording is still uploading, the recorder asks before it closes, and the recording is uploaded the next time you open the recorder.

Connecting to ProcessPlan

The recorder uploads your recordings to your ProcessPlan account, so the first time you use it, you connect it to your account.

1. In the recorder window, click Connect to ProcessPlan.
2. ProcessPlan opens in your web browser. Sign in if you are asked to.
3. Check that the code on the page matches the code the recorder shows, then click Connect.

The recorder now shows Connected as with your email address, and below it everything you need to start a recording. It stays connected. Your recordings upload to your account, and ProcessPlan emails you at that address when each process is ready.

If your browser does not open, click Copy link in the recorder and paste the link into your browser.

To connect as someone else, click Switch account and approve the connection while signed in to ProcessPlan as that person. The recorder keeps its current connection until the new one is approved.

Caution

Only click Connect on a page that your own recorder opened. If someone sends you a connection link, do not approve it: it would let their recorder upload recordings as you.

What is recorded

While a recording is active, the recorder captures:

• A video of your screen. It follows whichever window you are working in, so it works naturally across multiple monitors.
• Your voice narration through the microphone.
• Your mouse clicks, typing, and scrolling.
• Text you copy and paste.

Caution

Everything visible on your screen during a recording is captured. Before you start, close anything unrelated or confidential, and avoid typing passwords or displaying sensitive information while recording.

Keeping the recorder up to date

The recorder keeps itself up to date automatically and briefly restarts when a new version is installed. It never restarts in the middle of a recording, or while a recording is being saved or uploaded. A new version waits until the recorder is idle. To check manually, click Check for Updates at the bottom of the recorder window.
