Finding Files

Every file uploaded into a process lives with that process, but you don’t have to remember which process to find one. The two screens under Reports > Files list every file in one place.

Instance Files

Reports > Files > Instance Files lists every file attached to a file field on any process instance. Columns include File Name, Process Name, the instance’s description under Process Fields, a % Complete dial showing how far along the instance is, and Created Date.

• Click a row to open the file in a new browser tab

• Use the Full Text Search column’s filter to search inside the files themselves, not just their names. This is the fastest way to find “the contract that mentions net-60 terms” when you don’t know the file name

• The Download button exports the current list (with instance and process details) as a CSV file

Template Files

Reports > Files > Template Files lists files attached at the process template level, such as reference documents your team attaches to the process design itself. It shows File Name, Process Name, and Created Date, with the same Full Text Search filter, and clicking a row opens the file in a new tab.

Tip

On both screens, use Toggle Filter Row to reveal the per-column filters, and combine them: filter Process Name to one process and then full-text search within just that process’s files.
